Browsing the Catalogue

By selecting the link on the navigation bar (Browse Product Catalogue) it will take you to the main search screen.

The system will allow you to search via 5 different methods:-

  1. Catalogue Section
  2. Product Code
  3. Manufacturers Code
  4. Descriptive Words
  5. Advanced Search

Catalogue Search

The catalogue section search works by selecting a category from which the product you are looking for would fall into i.e. search for diskettes - to do this select:

1 Computer supplies and click on show products

2 Select Storage Media and click on show products - this will list everything from recordable CD's to photographic film

3 Select Diskettes and click on show products the system will list all diskettes under that category.

Select a product from the items listed via the descriptive link to take you to the product catalogue screen or add an item to the basket by putting a quantity in the quantity field and selecting add to basket.

Product Code Search

To find a product by code, use the mouse to move to the cell Basic Search (Short Description and Product Code).

Type in the product code i.e. KF24001 and the screen should look as follows:-

You are able to add the product to the basket by selecting the quantity field and putting in the amount you require and clicking on add to basket or select the descriptive link which will take you into the product catalogue screen.

Manufacturers Code

To search using the manufacturers code follow instructions listed under product code.

Descriptive Search

To search using the descriptive word search select the Basic Search (Short Description and Product Code) cell. Enter key words you want to search on i.e. red pen - the system will find all items with the words red and pen in the short desciptive text associated with the product.

The system also lists the cheapest items to you first, if you select the more products button, this will list all other red pens found within the system.

Advanced Search

The final way to search through the system is via the advanced search link found at the top of the main search screen. To search via this option select the button and a table containing the following information will appear.

The advanced search allows you to search on

Search Text Search on Key words and descriptions
Maximum Price Retail Price
Minimum Price Retail Price
Product Code Enter the Product Code
Manufacturers Code Enter the Manufacturers Code
Catalogue Page Number Enter a page number

You can fill one or all of the cells within the advanced search. i.e. fill in the following:-

Search Text Chair Charcoal
Maximum Price 150.00
Minimum Price 100.00

You are asking the system to be specific in the criteria you want the system to search on. This will search the catalogue looking for a charcoal chair with a maximum retail price of £150.00 and a minimum of £100.00, click on the link to see what the system finds.

The system found 13 items. You can add an item to the basket from this screen or select one of the links to take you into the product catalogue main screen.

 

Raising Orders

There are three ways in which an order can be raised:-

  1. Browse the catalogue
  2. Create purchase orders
  3. Template Orders.

Browse Product Catalogue

Using the methods described above to search and find products, products can be added to the basket via the product catalogue screen :-

The catalogue screen gives you all the product detail, including full text descriptions, prices, logo and image of the product. It also gives you the option to add a product to your basket. Put in a quantity required and click on add to basket. Upon adding items to a basket you are then taken to the main basket detail, describing what items are currently in your shopping basket.

The user then has the option to carry on shopping, complete the order, empty the basket or make changes in the basket. To carry on shopping select Continue Shopping. Follow the procedure outlined above to continue adding products.

Completing an Order

Once you have finished adding items into the basket you are ready to check out. To do this you must select the link. You are then taken to the screen showing all the items you require including prices and totals.

In order to continue you must put a tick in the tick box stating that you accept the terms and conditions associated with using the site and the sale of goods.

Click on confirm which will take you to the final stage of placing an order. Here you can enter your purchase order number, select the address (this is optional, if a default address has not been set up) and add any comments onto the order before clicking on the complete button.

The order is processed automatically to your supplier as long as you don’t spend over your budget. If you spend over your allocated budget a message will be displayed saying that the order is awaiting to be authorised.

Only administrators have the right to process awaiting orders. The system holds the order until the administrator logs onto the system and authorises the order. Orders can only be processed via the Process Purchase Orders link.
